The ems system is automatically licensed via the SUBRIS product activation server.
License models
“Pay as you go” license model
- Unlimited use of the required modules
- Unlimited number of users
- Flexible assignment of modules and usage quantities for users
- The rights granted to users do not affect the license price (same price per module for users with read rights and administrators)
- Automatic adaptation of the system to the required licenses
- Monthly/quarterly billing of the licenses used

Package licenses
In addition to the existing “Pay-As-You-Go” model, package licenses will be offered from 1 June 2024:
- SME packages for business (Starter, Basic, Extra) and topic-specific packages (time recording, cash register system, order management)
- Packages can be selected and ordered via our Subris website
- Prepayment by credit card when ordering for 1 or 12 months
- Fixed number of users and modules (e.g. “Business Package Basic” with time recording and order management for 10 users and quotation management, accounts payable and accounts receivable for 3 users)
- No adjustment of licenses possible; if the permitted number of licenses is exceeded, a larger package must be ordered
Current licenses
You can find current data on the active licenses on the subris.net website in your account in the Licenses section. When you click on License management in the system’s user menu, you will be directed to the login screen on the subris website.

To log in, use your e-mail address and click on Forgot password. The following steps will help you to create a password for your login.

After logging in, customers with the pay-as-you-go license model can activate or deactivate the licenses in their account. Customers with package licenses can purchase additional licenses via the store. Important: the display is based on the e-mail address stored in the license server (i.e. only the system administrator whose e-mail address is stored on the license server has access to the licenses and their administration).

New license key format
In the current version (2nd generation) of the license key system, all necessary data for a system is stored in encrypted form. This has the advantage that no connection to the license server is required to activate a system. One disadvantage, however, is that the key changes every time the number of functions is changed.
You will find the current license key:

This will be adjusted in the future:
Each system receives a unique key in the format XXXX – XXXX (e.g. AB23 – TZ93).
This key remains permanently unchanged. However, the systems must authenticate themselves online on the license server. When installing tools (ems ServerTool, ems Client, ems Pos, etc.), this key must always be entered in future. The changeover from the old to the new format will take place gradually over the next few months.
Use the copy function to copy the license key:
- Version x2: to the right of the key
- Version x3: appears when the cursor is moved to the key
Error in the licensing
The following errors may appear in the licensing:
- Your license has expired at [Datum]!
- You have exceeded the maximum number of licensed users! The authorizations have been restricted.
You can correct the error yourself by adjusting the number of licenses (possible in version X2).
1. Enter the desired number in the license section. (The module that is no longer correctly licensed is highlighted in orange.)
2. Click on “New ems license…” under the modules.
