{"id":3322,"date":"2023-10-09T14:58:17","date_gmt":"2023-10-09T12:58:17","guid":{"rendered":"https:\/\/www.ems-help.online\/docs\/employee-management\/ems-employee-management\/create-new-profile\/"},"modified":"2025-05-06T10:23:28","modified_gmt":"2025-05-06T08:23:28","password":"","slug":"create-new-profile","status":"publish","type":"docs","link":"https:\/\/www.ems-help.online\/en\/docs\/create-new-profile\/","title":{"rendered":"Create new employee profile"},"content":{"rendered":"\n<p>There are 2 options for creating a new employee profile:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Create a new profile<\/li>\n\n\n\n<li>Make a copy of the existing profile<\/li>\n<\/ul>\n\n<h2 class=\"wp-block-heading\">New profile<\/h2>\n\n<p>A new profile is created in the employee administration via the <em>&#8220;+New&#8221;<\/em> button in the menu bar.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"191\" height=\"75\" src=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Neu.jpg\" alt=\"\" class=\"wp-image-7888\"\/><\/figure>\n\n<p>When you create a profile, the system will automatically recommend that you use a copy of the existing profile as a basis in order to simplify the procedure and adopt the profile settings. Copying is described below.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"486\" height=\"107\" src=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Kopiererinnerung-2.jpg\" alt=\"\" class=\"wp-image-3330\" srcset=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Kopiererinnerung-2.jpg 486w, https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Kopiererinnerung-2-300x66.jpg 300w\" sizes=\"auto, (max-width: 486px) 100vw, 486px\" \/><\/figure>\n\n<h3 class=\"wp-block-heading\">Enter basic employee data<\/h3>\n\n<p>The following fields must be completed <strong>in the first dialog box<\/strong> (mandatory fields are marked in green):<\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Personnel no.  <\/strong>&#8211; System number, is assigned automatically<\/li>\n\n\n\n<li><strong>ext. numbers <\/strong>  &#8211; Internal personnel numbers of the company (2 numbers can be created)<\/li>\n\n\n\n<li><strong>Initials<\/strong> &#8211; name abbreviations<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"792\" height=\"416\" src=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Neu-Dialog.jpg\" alt=\"\" class=\"wp-image-3326\" srcset=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Neu-Dialog.jpg 792w, https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Neu-Dialog-300x158.jpg 300w, https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Neu-Dialog-768x403.jpg 768w\" sizes=\"auto, (max-width: 792px) 100vw, 792px\" \/><\/figure>\n\n<p>After entering the basic data and saving, further tabs appear.<\/p>\n\n<h3 class=\"wp-block-heading\">Integration of the employee into the organization<\/h3>\n\n<p>The <strong>second step<\/strong> is to <strong>integrate it into the organization<\/strong> (click on Plus).<\/p>\n\n<p><strong>Every employee must be assigned to an organization. Only if the employee is assigned to an organization will their profile become active. Organization data is time-controlled. Before that, only via advanced search and by activating inactive employees)<\/li>\n\n\n\n<li><em>Reason for change<\/em> &#8211; new entry, re-entry. If this field is left blank, the system will fill it in automatically. <\/li>\n\n\n\n<li><em><strong>Cost center<\/strong> <\/em>&#8211; Select from the drop-down list (by default, an entry of 100% is provided. Additional cost centers can also be added with a plus to split the cost centers)<\/li>\n\n\n\n<li><em><strong>Department<\/strong> <\/em>&#8211; Select from the drop-down list (the employee is added to the automatic authorization role of this department &#8211; <a href=\"https:\/\/www.ems-help.online\/docs\/berechtigungen\/\" data-type=\"docs\" data-id=\"3378\">Authorizations for employees<\/a>)<\/li>\n\n\n\n<li><em>Supervisor<\/em> &#8211; Select from the drop-down list by name or personnel number (the employee is added to the automatic authorization role of this supervisor &#8211; <a href=\"https:\/\/www.ems-help.online\/docs\/berechtigungen\/\" data-type=\"docs\" data-id=\"3378\">Authorizations for employees<\/a>)<\/li>\n\n\n\n<li><em>Function<\/em> in the company and other data (the employee is added to the automatic authorization role for this function &#8211; <a href=\"https:\/\/www.ems-help.online\/docs\/berechtigungen\/\" data-type=\"docs\" data-id=\"3378\">Authorizations for employees<\/a>)<\/li>\n\n\n\n<li><em>Contact details<\/em><\/li>\n\n\n\n<li><em>E-mail address<\/em> (this can be used as a user name for logging in. Automatically applicable authorizations are activated overnight after creation (if available). This means that if the &#8220;clock in&#8221; recording type is active for an employee, they can ONLY clock in themselves and their superiors cannot edit their time recording &#8211; as clocking in is only possible for themselves. To remove this block, &#8220;Remove block&#8221; must be activated in the authorization role of the person processing the time recording.<a href=\"https:\/\/www.ems-help.online\/docs\/berechtigungen\/\" data-type=\"docs\" data-id=\"3378\">(Authorizations for employees<\/a>)<\/li>\n\n\n\n<li><em><strong>Shift plan<\/strong><\/em> (e.g. 100% shift plan, 40% shift plan or &#8220;absences only&#8221; (recording working hours is possible, but not mandatory) &#8211; read more about shift plans here: <a href=\"https:\/\/www.ems-help.online\/docs\/sollstunden-schichtplaene-feiertage\/\" data-type=\"docs\" data-id=\"2363\">Target hours (shift schedules \/ public holidays)<\/a> <\/li>\n\n\n\n<li><em>Entitlements<\/em> &#8211; Automatic entitlements (e.g. annual vacation entitlements &#8211; read more about this here <a href=\"https:\/\/www.ems-help.online\/docs\/zeitguthaben-ferien-gleitzeit\/\" data-type=\"docs\" data-id=\"2167\">Time credits (vacation, flexitime)<\/a>)<\/li>\n\n\n\n<li><em>Rules<\/em> &#8211; Special rules (e.g. break regulations, company vacations, etc.) &#8211; these are created by the developer (SUBRIS)<\/li>\n<\/ul>\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"826\" height=\"339\" src=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Zeiterfassung.jpg\" alt=\"\" class=\"wp-image-3344\" srcset=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Zeiterfassung.jpg 826w, https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Zeiterfassung-300x123.jpg 300w, https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Zeiterfassung-768x315.jpg 768w\" sizes=\"auto, (max-width: 826px) 100vw, 826px\" \/><\/figure>\n\n<p class=\"has-black-color has-text-color\">If available, the cost rate can then be created in the <em>Operating data<\/em> tab.<\/p>\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"815\" height=\"343\" src=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Betriebsdaten.jpg\" alt=\"\" class=\"wp-image-3348\" srcset=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Betriebsdaten.jpg 815w, https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Betriebsdaten-300x126.jpg 300w, https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Betriebsdaten-768x323.jpg 768w\" sizes=\"auto, (max-width: 815px) 100vw, 815px\" \/><\/figure>\n\n<p>The cost rate is the internal cost expenditure (wages + insurance + fringe benefits + vehicle and other costs). It can be a full cost rate or a partial cost rate. The cost rate has no influence on the billing to the customer (customer invoice) &#8211; the billing type is used for this.<\/p>\n\n<h2 class=\"wp-block-heading\">Copy profile<\/h2>\n\n<p>To simplify the creation of a new profile, you can make a copy of the corresponding profile (with the same or similar settings). Open this profile and click on &#8220;Copy&#8230;&#8221;<\/p>\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"395\" height=\"130\" src=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Neu-Kopieren.jpg\" alt=\"\" class=\"wp-image-3328\" srcset=\"https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Neu-Kopieren.jpg 395w, https:\/\/www.ems-help.online\/wp-content\/uploads\/2023\/10\/Web-MA-Neu-Kopieren-300x99.jpg 300w\" sizes=\"auto, (max-width: 395px) 100vw, 395px\" \/><\/figure>\n\n<p>In the dialog that appears, fill in the main fields as for a new profile (see above).<\/p>\n\n<p>Special settings:<\/p>\n\n<ul class=\"wp-block-list\">\n<li><em>Checkbox &#8220;Copy organization data&#8221;<\/em> &#8211; data of the integration into the organization is copied (can be adjusted later via &#8220;Mutate&#8221;).<\/li>\n\n\n\n<li><em>Checkbox &#8220;Copy time recording settings&#8221;<\/em> &#8211; data from &#8220;Recording profile and shift plan for time recording&#8221; are copied.<\/li>\n\n\n\n<li><em>Checkbox &#8220;Create annual leave entitlement automatically&#8221;<\/em> &#8211; If the checkbox is selected, the annual leave entitlement is calculated and created automatically. Leaving and rejoining the company can be done countless times (click on Plus of integration into the organization and fill in the fields accordingly) &#8211; similar to the changes to employee
