Take over positions

Invoice items can be automatically transferred from the source documents. Source documents can be quotations, sales orders or sales orders.

The option “from offer” is only available if there is also an offer for the order.

Apply from offer

After clicking on “from offer” a dialog opens with all variants and groups from the offer. By default, all lines are selected. Remove the “hooks” from the unused groups or variants.

By clicking on “Apply”, all data from the offer will be read out and transferred to the invoice. All positions can be adjusted as desired afterwards.

Optional and free positions are not accepted.

Transfer from order

By clicking on “from order” the following dialog will be opened

In item 1 you can choose whether the system should automatically adjust the service period of the invoice (see Basic data).

Dynamic fitting means that the period is automatically adjusted to the existing entries. As an example, a service call may include hours on 12/2/2020, 12/5/2020, and 12/12/2020. now the system automatically adjusts the period to 12/2/2020 – 12/12/2020. Even if the selection period is, for example, from 01.12.2020 to 31.12.2020.

The option of fixed adjustment means that the selected time period will be fixed. For example, if data from 12/01/2020 – 12/31/2020 is transferred, the period will also be set to 12/01/2020 – 12/31/2020. Regardless of whether or not there are entries in the process. If several different time periods are used, the first and last date will be taken. If the selection is not adjusted, no adjustment of the time period will take place either

In section 2, you can select all the desired data to be transferred. This can be narrowed down by entering the date.

As soon as you select the corresponding selection, the data can be adjusted accordingly. The number and the text correspond to the group number and the group text in the invoice. With the corresponding group number they can also control the sorting in the invoice.

Save defaults

If you want to keep the selected settings, click the star icon. The settings are now saved system-wide. This allows you, for example, to always use time tracking with the group name “Hours”.
