Hourly and vacation balances (ems Web)

The ems system offers several ways to control hourly and vacation balances. It is important both for the supervisor and for the employee himself.

The system administrator can set the min and max limits for the balances so that if they are exceeded or not reached, the report cannot be released (a warning message appears). This helps to prevent the hourly balance from going into the negative range, as well as to avoid using up vacation days.

Variant 1 – View balances from all employees

Under “Time recording -> Releases -> Release time recordings” all employees in the current period are displayed. The overdue releases are hidden – these are listed without data in the “Pending releases” tab.

Please pay attention to the period before the employee, because this list also shows the exited employees with unfinished repeats.

Variant 2 – View balances of an employee per previous day

Under “Time tracking -> Open employee profile (press pencil on the right) -> Time requests -> Current hourly balance” you will find the current vacation and hourly balance for each individual employee as of the previous day.

For comparison, the balances as of the end of the last released period and expected as of the end of the year (based on upcoming time requests) are also shown here.

Variant 3 – Evaluations

The balances can also be found in the following reports (depending on the period selected in the mask):

* Time tracking report

The time recording report contains the data about time and expense recording in the selected period. The values of the time accounts are below, also with comparative values on the day before and after the period: with indication in hours (H) and days (D).

* Hourly credit (balance statement)

The document “Hour balance (balance statement)” reflects the daily balance change in the selected period: date – time type – value (number of hours) – balance per date in hours and days.

  • – Vacation balance: vacation entitlements (created by the system administrator) and all accepted absence requests are taken into account
  • – Hourly balance: daily change of the flexitime account
