The system supports both manually setting breaks based on specific times (for example, from 12:00 p.m. to 1:00 p.m.) and ensuring compliance with legally mandated breaks.

Calculation of Break Time #

Break time is calculated based on the first and last recorded times, minus the recorded hours.

For example, an employee logs time from 8:00 a.m. to 9:30 a.m., from 10:00 a.m. to 12:30 p.m., and from 1:00 p.m. to 5:00 p.m.
Thus, the attendance time is from 8:00 a.m. to 5:00 p.m. = 9 hours
. The recorded hours are now deducted from this.
9 hours – 1.5 hours – 2.5 hours – 4 hours = 1 hour of break time


Break time recorded or added by rules #

If a time type with the “Break” setting exists and is additionally recorded or added via a rule, it is added to the calculated break time.

If, in addition to the example above, a rule adds a break time from 3:00 p.m. to 3:15 p.m.,
1 hour + 0.25 hours = 1.25 hours of break time


Automatic deduction of break time based on statutory entitlement #

The system can enforce compliance with legally required breaks. If the legal requirement is not met, the necessary break is automatically added to the record.

The review is conducted in two stages. The first stage verifies compliance with the minimum daily break requirement.

The second step reviews the total break times per day, broken down by working hours (time present).

For example, if an employee works from 7:30 a.m. to 12:00 p.m. and from 12:30 p.m. to 5:15 p.m., this results in a break time of 0.5 hours for a total work time of 9.25 hours.
The system would now increase the break from 0.5 hours to 1 hour.

> 7.25 hours**= 0.5 – (7.5 – required hours) – break time
> 5.75 hours= 0.25 – Break time
> 5.5 hours**= 0.25 – (5.75 – required hours) – break time

** The system takes into account that the recorded hours are not covered by the entitlement. For example, with 9.75 hours of work time, a break deduction of 1 hour would be incorrect, since after the break deduction, only 8.75 hours would have been worked, which in turn would result in a break deduction of only 0.5 hours. In this case, the system would deduct 0.75 hours for breaks.
